Workflows are certainly a great tool to support business digitalization. However, business processes can be super complex. The simplicity and sometimes the utter rigidity of workflow engines in document management tools, when available, often limit the digitalization of business processes. The outcomes of an unfit tool are commonly disappointment and regrets regarding the support to business digitalization, since it does not deliver what was expected. Other usual results are errors in the digital processes, driving people to complete dissatisfaction and disapproval of such solutions.
In DocQ, workflows are a way for you to determine the lifecycle of a document, defining its journey from creation either from digitalization, automated process, or even manual upload, all the way to digital storage, and having the intermediate steps defined as needed between collaboration, content review, eSignature and integrations.
DocQ provides its users with the capability of defining workflows following an IFTTT logic, bringing lots of flexibility to the definition of the document journey within the many departments and tasks involved within a given process.
IFTTT stands for If This Then That. Basically, an IFTTT workflow allows users to define conditions to a variety of multiple possible paths within a process. For example, if the document is an invoice that has to be approved within the financial department, one can define the IFTTT workflow so that will share the document with the respective people depending on the total invoice amount. It means that in the definition of the workflow, we can use conditions based on metadata associated with the document itself or even with values retrieved from its content.
The conditions can also be very useful when a document needs to move “backwards” in a process. For example, if a contract is going through a round of review by people from multiple departments, and someone points out a change that must be made to the values of that document, then the contract can return back to the department responsible for making such change; saving time from people that have already contributed to the document review and will not be affected by the new changes.
Generally, any process from the physical world and its particularities, meaning that happens within a company that already uses or not some technology, can be implemented within an IFTTT workflow.
What about you? Can you think of a business process that could leverage the power of an IFTTT workflow on its digitalization process? If so, or if you are interested in knowing more about IFTTT workflows and the whole lot more that DocQ has to offer, please reach out to here.
