Workflow Settings

Configure workflow properties, default settings, FTP export, and document template association.

The Workflow Settings panel controls global properties that apply to the entire workflow. Access these settings by clicking Settings on the right side of the workflow editor.

General Settings

Default Workflow

Enable the Default Workflow toggle to designate this workflow as the default. When users submit documents without selecting a specific workflow, the default workflow is used automatically.

Send to FTP on Complete

When an FTP account is registered in your DocQ environment, you can enable the Send to FTP on complete option. Once enabled, the completed document is automatically exported to the configured FTP location when it reaches the End step.

Allow Email Copy on Complete

Enable this option to present users with the ability to receive an email copy of the document when they take an action on it. This gives users a convenient way to retain a personal copy of documents they have reviewed or signed.

Content Access

Use the Content access dropdown to restrict which users can view and interact with documents in this workflow. Select a permission group to limit access to only members of that group. When no group is selected, the workflow follows the standard content access rules defined at the user level.

Document Template

The Document template dropdown associates a specific document template with the workflow. This association serves two important purposes:

  1. Variable availability — the template's variables become available for use in workflow steps (e.g., email subjects and bodies) and in IFTTT conditions for conditional routing.
  2. Signature template preview — when the workflow includes steps that require e-signatures, the associated template defines which signature template preview is used.

Associating a document template is required before you can use variable values in step configurations or set up conditional routing based on template variables. See Templates Overview for details on creating and managing templates.

Signature Template

If the workflow includes steps that require e-signatures, you can configure a signature template by clicking the Signature template button located above the canvas. The signature template defines the placement and appearance of signature fields on the document.
